Wholesale Operations Coordinator

We are looking for a proactive full-time Wholesale Operations Coordinator to support building Marimekko’s fashion, bags, accessories and home décor wholesale business in North America. The ideal candidate is a detail oriented, highly organized, proactive team player who has a positive attitude towards life and work. The candidate is able to interact with clients and provide complete back end support to the North American Wholesale team based in New York.     

Your main responsibilities: 

  • Ensure all wholesale customers are accurately managed in regards to: internal POS systems, logistics & operations requirements per vendor guidelines, order entry, shipping status & financial status
  • Ensure all wholesale accounts are shipped within the designated shipping windows, invoices paid on time and chargebacks properly accounted for
  • Develop ways of working & strategies for logistics/operations counterparts in HQ

 Shipping/Logistics

  1. Assist in tracking inventory shipments between overseas factories/warehouses & USA warehouse
  2. Maintain weekly shipping schedule based on order delivery weeks
  3. Ensure orders are delivered on time; problem solve to assist with delivery delays or order shifts. Work with customs to clear flagged packages
  4. Work with Value Added Service clients
    1. order tickets in advance
    2. communicate shipping guidelines/requirements & work to find solutions when changes or issues arise
    3. complete all vendor required information forms ahead of ship date
    4. track all chargebacks & provide proof of claim

 Order Management

  1. Order entry into B2B or DAFO
  2. Ensure order accuracy for pricing, delivery addresses & delivery window
  3. Updating any changes to orders
  4. Upload data to Value Added Service client portals (Tradestone, Amazon, ShopBop, Nordstrom etc)

Finance

  1. Send invoices to clients upon request
  2. Assist finance in reconciling payments to invoices
  3. Track chargebacks & ensure finance & logistics are applying credit notes in timely manner
  4. Follow up on outstanding payments
  5. Create invoice recaps/templates for Value Added Service clients

EDI

  1. Upload all SKUS into EDI portal
  2. Track orders that come through for accuracy
  3. Flag errors & problem solve to resubmit transmissions

AMAZON

  1. Upload all new ASINS to catalog
  2. Use 3rd party software to track payments and chargebacks
  3. Enter orders & ensure on time delivery for both VC and SC funnels

 Qualifications of an ideal candidate: 

  • Positive and enthusiastic team-minded attitude 
  • Detail-oriented, organized with multi-tasking and analytical skills 
  • Ability to execute complex tasks & communicate with an international audience, including multiple time zone accommodations 
  • Understanding of EDI, CRM and other 3rd party platforms preferred 
  • Quick learner of new systems and processes 
  • Proficiency with Excel including formulas, pivot tables & v-lookups 
  • 1-2 years in a sales operations support role preferred
